EasyU (easyu.ca and its sub-domains, including bookkeeping.easyu.ca, payroll.easyu.ca and t1.easyu.ca) is operated by Sheng Qian Plus Corp. together with Sheng Qian CPA (“we”, “us”). We provide bookkeeping, payroll, tax and related accounting services to Canadian businesses and individuals. This policy explains what personal and business information we collect, how we use it, and the choices you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

  • Account information — name, email address and sign-in details for the people who use EasyU.
  • Business information — legal name, business number, address, fiscal year-end, sales-tax registrations and similar company details.
  • Financial records — bank and credit-card statements, invoices, receipts, trial balances, general ledgers and other documents you upload or ask us to obtain.
  • Data from connected accounting software — when you (or our staff acting on your instructions) authorize a connection to a third-party accounting system such as QuickBooks Online, we retrieve your chart of accounts, journal and ledger reports, trial balances, sales-tax settings, and customer/vendor lists from that system, and — while the connection remains in place — refresh that data as needed for your engagement.
  • Personal tax information — if you ask us to prepare your personal income tax return: the contact details, answers and documents described in section 4.
  • Employee and payroll information — if we run payroll for your business: your employees’ names, addresses, dates of birth, hire and termination dates, pay rates, deductions and tax-credit (TD1) amounts, and Social Insurance Numbers, as needed to calculate pay and prepare payroll filings. See section 4A.
  • Enquiries — if you contact us through the form on easyu.ca: your name, email address, phone number (optional), whether you are asking as an individual or a business, your message, and the page and campaign link that brought you to the form.
  • Technical information — basic logs (such as IP address, browser type and timestamps) needed to operate and secure the service.

2. How we use information

  • To provide the services you engage us for: bookkeeping, financial statements, payroll, tax filings and compliance work.
  • To migrate your existing accounting records into EasyU when you move from another accounting system.
  • To prepare and file your tax returns and related filings.
  • To prepare financial analysis and reports for you.
  • To communicate with you about your engagement, documents we need, and deliverables.
  • To answer your enquiry and follow up with you about the services you asked about.
  • To secure, maintain and improve the service.

We do not sell your information, use it for advertising, or share it with anyone except as described in this policy.

3. Data from QuickBooks and other connected software

  • We access connected accounting data only with your authorization and only to provide the services you engaged us for: migrating your records into EasyU, preparing and filing your tax returns, and preparing financial analysis and reports for you.
  • Our migration tool only reads data; it does not create, change or delete anything in your accounting software.
  • Access tokens are kept on access-restricted, encrypted devices and are used only by authorized staff of Sheng Qian CPA.
  • You can revoke access at any time from within your accounting software (for QuickBooks Online: Settings → Apps → Disconnect), or by asking us. See Ledger migration.
  • Data obtained this way is not used to train artificial-intelligence models and is not shared with other customers.

4. Personal tax returns (t1.easyu.ca)

What we collect

  • Contact details — when you request a personal link at t1.easyu.ca/start, or when our staff or a referral partner sets one up for you: your name, email address, phone number (optional) and preferred language.
  • Your answers — what you enter in the tax questionnaire behind your personal link. For example: personal and household details (including about your spouse or partner and dependants), residency, income, deductions and credits. Some answers can be sensitive, such as medical expenses. Answers are saved to our servers as you go.
  • Your documents — tax slips, receipts, statements and other files you upload.
  • Link activity — when your link was sent, last opened and submitted.
  • Your Social Insurance Number (SIN) — see below.

If you give us information about family members, please make sure they know and agree.

Your Social Insurance Number (SIN). We need your SIN — and the SINs of family members included in your return — to prepare and file it. You can enter it in the questionnaire; if you are already our client, we bring it over from our firm’s client records. It is stored encrypted on our servers in Canada. Once saved, your personal link shows only the last three digits: you can re-enter it there, but you cannot view it. Only authorized staff can see the full number, and every access is logged. We use your SIN only to prepare and file your returns and to deal with the CRA on your behalf. It is never shown to referral partners and is never sent to AI tools.

How we use it

To send you your link and contact you about your return; to prepare and file your personal tax return and related filings; and to open a client file if you engage us. Our staff may use AI assistance to read and sort your documents, and to check the figures we prepare for your return against your answers and slips. A staff member reviews and confirms every result (see section 6).

Your personal link

The link works without a password, so anyone who has it can see and change your answers. Please don’t forward it. If you think someone else has it, contact us and we will disable it and send you a new one.

Referral partners

  • If an independent referral partner (such as a broker or advisor) introduced you to us, they can see the contact details they entered for you and the status of your file. For example, they can see when your link was last opened and whether you have agreed to share.
  • They can see your answers and uploaded documents only if you tick the sharing box in the questionnaire. Sharing is optional and does not affect our service to you.
  • You can untick the box at any time, or ask us to do it for you. From then on the partner can no longer view your answers or documents. We cannot recall anything they viewed or downloaded before.
  • Your SIN is never shared with referral partners.
  • Referral partners are independent of us and are responsible for what they do with information you share with them.

Retention and deletion

  • If you become our client, your information is kept as described in section 7.
  • If you don’t, we delete your contact details, answers and documents by December 31 of the year after the tax year (for example, by December 31, 2027 for a 2026 return).
  • You can ask us to delete your information at any time by emailing admin@sqcpa.ca from the address you registered with. We will delete it, except records we must keep by law (for example, for a return we have already prepared or filed).

4A. Payroll and employee information (payroll.easyu.ca)

Chinese translation below

To run payroll for your business, we need certain information about your employees, which you or your staff provide to us. We use it only to calculate pay, deductions and remittances, and to prepare and file payroll slips and returns with the CRA and Service Canada, such as T4 slips and Records of Employment.

Employee Social Insurance Numbers. An employee’s SIN is required on T4 slips and Records of Employment. Our staff may enter it in EasyU Payroll directly, or through our AI assistant. When our staff use AI assistance to set up or update an employee record, the SIN they provide passes through our AI provider (Anthropic), which may process it outside Canada (see section 5), on its way into EasyU Payroll. The AI assistant can write the number but cannot read it back: EasyU never returns an employee’s SIN to the AI tool, never shows it on confirmation screens, and does not record it in our activity logs, and it is removed from the request record as soon as the update is completed. Our AI provider does not use this information to train its models. Employee SINs are never shown to referral partners.

This differs from personal tax returns (section 4), where your own SIN is never sent to AI tools.

第 4A 节中文译文 · 工资与员工资料(payroll.easyu.ca)

5. Where your information is stored

Our application database and document storage are hosted in Canada (Montréal, Québec region), and our bookkeeping application servers run in the same region. Working copies of the documents our professionals prepare and review are also kept in our firm’s Microsoft 365 workspace (OneDrive / SharePoint), which Microsoft stores in Canada. Some service providers listed below may process limited information outside Canada; when they do, the information is protected by contractual and technical safeguards, but it may be subject to the laws of that jurisdiction.

6. Service providers

We use carefully selected providers to run EasyU, each limited to what is needed for its function:

  • Cloud hosting and database (Vercel, Supabase) — application hosting and encrypted storage in Canada.
  • Authentication (Clerk) — sign-in and account security.
  • Email delivery and document workspace (Resend, Microsoft 365) — sending notices and documents you request, and keeping our firm’s working copies of your documents in Canada.
  • Electronic signature (DocuSeal) — when you sign documents electronically.
  • AI assistance (Anthropic) — to help our professionals read and organize documents, check the figures we prepare for your return, and prepare bookkeeping and payroll entries, including setting up and updating employee records (see section 4A). AI output is always a draft reviewed by our staff; providers do not use your data to train their models.

7. Retention

We keep accounting records for as long as needed to provide the services and to meet professional and legal record-keeping requirements (generally at least six years, as required by the Canada Revenue Agency). When information is no longer required, we delete or anonymize it. For personal tax enquiries that do not proceed, see section 4.

8. Security

We use encryption in transit (HTTPS) and at rest, role-based access limited to authorized staff, audit logging and regular backups. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the appropriate authorities of any breach as required by law.

9. Your rights

You may ask to access or correct your personal information, withdraw consent (subject to legal or contractual limits), or ask questions about our practices. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
